Clinic Calendar Companion
Terms of Service
Effective date: October 5, 2026
These Terms of Service govern your access to and use of the Clinic Calendar Companion (the “Service”), an internal scheduling tool operated by The Spine & Brain Coalition (“the Coalition,” “we,” “us”). By signing in or using the Service, you agree to these Terms.
1. Who may use the Service
The Service is provided for employees, contractors, and affiliated providers of the Coalition who have been granted an account by an administrator. Accounts are personal and may not be shared. You are responsible for keeping your password confidential and for all activity under your account.
2. Roles and permissions
Access is controlled by roles. Administrators and calendar administrators maintain the shared work calendar (clinic schedules, call, surgery, conferences, virtual meetings, geography, and inbox entries). Other users may view the categories their role permits and may create, edit, and delete only their own personal events.
Do not attempt to access information or functions beyond the permissions assigned to you. Administrators may change, suspend, or remove accounts and roles at any time.
3. Personal events
Personal events are private by default and appear only on your own personal calendar. If you choose to share a personal event, it will appear on the shared work calendar for all users who can view personal events. You are responsible for the content you choose to share.
4. Acceptable use
You agree to use the Service only for legitimate Coalition scheduling and coordination. You agree not to:
- enter protected health information (PHI) or other sensitive patient details beyond what Coalition policy permits for scheduling;
- upload unlawful, harassing, or misleading content;
- interfere with the Service’s security, availability, or integrity;
- export or disclose schedule data outside the Coalition without authorization.
5. Connected services
If you connect a Microsoft account, the Service may read and sync calendar events according to the permissions you grant. Your use of Microsoft services remains subject to Microsoft’s own terms. You may disconnect at any time from Settings.
6. Accuracy of schedules
Schedules are maintained by people and imported from other systems and may contain errors or delays. The Service is a coordination aid and does not replace official Coalition systems of record, clinical judgment, or direct confirmation with the responsible provider.
7. Availability and changes
We may update, suspend, or discontinue features of the Service at any time. We may revise these Terms; the effective date above will reflect the latest version, and continued use after a change means you accept the revised Terms.
8. Disclaimer and limitation of liability
The Service is provided “as is” and “as available,” without warranties of any kind to the fullest extent permitted by law. To the extent permitted by law, the Coalition is not liable for indirect, incidental, or consequential damages arising from use of the Service.
9. Termination
Your access ends when your relationship with the Coalition ends or when an administrator removes your account. Sections that by their nature should survive termination will survive.
10. Contact
Questions about these Terms should be directed to your Coalition administrator or practice management team.
